Warm Street is growing! The Operations Manager role is located in the beating heart of our business. Your key mission is to make sure Warm Street runs smoothly in terms of all back of house and operational process and communication. Importantly it is making sure we have the right processes and methodologies in place for the Warm Street team to function efficiently, smoothly and professionally. By ensuring processes are in place, communicated and followed by the company, you will be setting up the teams with the best conditions to succeed.
WHAT WE ARE LOOKING FOR
We are looking for a Operations Manager who has a proven track record of working in an agency and has a good understanding of agency life. You will be exceptionally organised and have a great attention to detail. You must have a passion for operations and an in-depth knowledge of how an agency works with a good understanding of what is needed for an agency to successfully grow. Ideally you will have prior experience working in a small agency environment (sub 30 people) and understand the nuances that come with fast growth. You will be a self-starter, looking to improve efficiencies in all areas of the business and project managing your ideas all the way through to completion. You will lead by example, fostering a positive and productive team environment. The Operations Manager will work with members of the team to have oversight on the precise requirements for project timings and budgets, and resource & trafficking of projects across the company. The role includes resource management, production, finance and administration duties, as well as being required to schedule briefing meetings and will also be the main point of contact on all inbound resourcing solutions . The successful candidate will also be required to manage and support new team members to use Float our resource scheduling system by providing training to new starters. The Operations Manager will be a key in defining and setting up new ways of working for the team and establishing best practices. They will also support with diary management of the Founder and Managing Partner.
Operate as a first point of contact regarding employee questions related to the admin, resource and process side of Warm Street
Build strong professional relationships with all members of Warm Street to provide support and to identify potential people and operational issues
Support on all administration needed to keep the company running smoothly (for example Director diary management)
Operational lead on resource management
Attend weekly resource meetings
Responsible for all team contracting - writing, distributing, answering any questions, ensuring signed copies are held, raise PO’s for freelancer invoices
Support the Senior Leadership Team with recruitment including posting jobs, application filtering, arranging interviews and managing Team Tailor recruitment system
Provide training on Float for new starters
Proactively flag challenges with resourcing in advance
Proactively flag any bottlenecks which will jeopardise work being done on time and to budget
Support the People and Culture Lead with the onboarding process for both permanent team members and freelancers, making sure that the processes run smoothly and are in accordance with the budget allocated. Also ensuring everyone receives an efficient and professional experience before joining Warm StreetMain point of contact for software providers and business suppliers (e.g. G-Suite, Asana), embed new software solutions, and explore potential new software solutions and build case for implementation where appropriate
Communicate effectively with the SLT and across the business
HR administration including tech distribution and profile set up
Track all projects on a rolling, weekly, monthly, quarterly basis and report any key findings across projects in our bi-weekly SLT meeting
4+ years experience in fast-paced agency environments (you have seen organisations scaling and the challenges and opportunities it brings)
A good understanding of the operations and processes needed in a growing business
You are known for your rigour and proactivity, and don’t hesitate to challenge the status-quo to find better way of working
Proactive and keen to look for ways to improve efficiencies across a business
Ability to see the bigger picture, what needs to be implemented and to drive implementation
Attention to detail, a love for organising and getting things in shape
Experience working across numerous platforms (Asana, Slack, Breathe, G-Suite, Float) and the ability to pick up the use of new platforms quickly and enthusiastically
Experience working in digital and social media marketing
