THE ROLE
The Warm Street Project Assistant will be responsible for supporting the Wray & Nephew Wray Forward Project, Ballantine's True Music Fund Project, and ongoing purpose led programmes & campaigns. You will be supporting the Project Manager for ensuring successful delivery of the programmes through participant & mentor recruitment, event & content planning, community engagement, attending and supporting virtual sessions and general administrative duties.
WHAT WE ARE LOOKING FOR
We are looking for a Project Assistant with strong administration experience and some event management experience who understands the nature of grass roots programmes and/or has experience of running programmes. You will have a ‘can do’ attitude and have knowledge of grass roots projects and past experience in project management. You will also have a creative eye and be able to identify opportunities for growth and expansion. You will also have an understanding of social media and know what consumers and communities care about. We believe we can help our clients make a positive impact on communities and culture-at-large and we’re looking for candidates driven by the same passion.
DAY-TO-DAY RESPONSIBILITIES
- Support Project Manager on strategic and creative decision making for programme activities
- Flag any new opportunities for programme development and exposure
- Input on creative direction for social posts and copy development.
- Support on event planning for the programme in support with programme partners.
- Support with the co-ordination of design and production of assets, photography and moving image, as required.
- Support in creating and sharing briefs with designers/creatives
- Lead communications for updates and developments with assets
- Engagement with programme Alumni and 23’ attendees to document their progress and success and take part in collaborative opportunities
- Support in building a system for Ambassadors
- Manage the system for Alumni and Ambassadors
- Manage comms and relationship management with programme community for event activations throughout the year
- Attend/host/co-ordination of events as required, representing both agency and brand to 3rd parties - be they online or IRL
- Support on all account management operations:
- Schedule and support regular internal and client status meetings.
- Track and report KPIs.
- Support with monthly & quarterly reporting
- Support with end of project/campaign debrief and review.
- Support with client and programme partner communications with guidance and lead from the Project Manager.
- Setting up meetings with partners
- Meeting notes
- Following up after meetings to ensure next steps/actions are clear and leads are accountable.
- Ensuring correct files are saved to most current folders for partners for all programme activities
- Manage up to Project Manager (ultimate responsibility for team communications and successful delivery of project) ensuring they have updates on programme activity.
- Weekly review of Project Timeline and outline key tasks for priority on a weekly basis.
- Build a summary of programme activities on the programme for weekly/monthly updates for the client
REQUIREMENTS
- Passionate about Black culture and community in the UK, and around the World.
- Understanding and experience of community-focussed initiatives and programming.
- Understanding of social media platforms, features, tools and amplification tactics.
- 4+ years experience in administration
- Knowledge of client brands - understand their activity and tone of voice.
- Exceptionally organised.
